5) Congress Office

The congress office will be situated at the conference floor of the Okura Hotel on the first floor.

To get to the congress office: Enter the hotel through main entrance. The stairs right hand site lead to the first floor and to the congress office.

The congress office / the BCF team at the venue will be available in presence or by phone to the following times:

Exhibition time:

Additionally, the team will be available by phone and email on Saturday, 30th Sep: 8:00 – 10:00 (for delegates attending the sightseeing tour).

6) Registration and terms of payment

The registration fees for the event include access to the conference floor of the Hotel Okura Amsterdam, to available congress documents, snacks/ lunch/ refreshments during coffee or lunchbreaks (or the welcome reception on Wednesday, Sep 27, 2023).

There is no option to attend the meeting online.

To register, use the link to the BIBM Congress 2023 ticket shop at www.bibmcongress.eu. Registration is binding. After receipt of your registration, you will receive the invoice and the ticket as PDF files to your specified e-mail address(es). You can specify different e-mail addresses for the invoice and the

ticket. Upon presentation of the ticket, you will receive your participant pass and available congress documents at the congress office.

Admission to the Congress is only possible upon presentation of the printed ticket as proof of your attendance. We kindly ask you to bring your ticket with you and have it with you during the whole congress times and also for all social programme activities.

All prices quoted are exclusive of statutory value added tax.

Concerning B2B purchases, in accordance with Dutch law, we are obliged to issue invoices in accordance with the reverse charge procedure.

For this purpose, it is mandatory to state the valid VAT identification number of the invoice recipient in the registration process (Reverse Charge).

Invoices are payable without deduction, depending on the method of payment chosen.

Participants lose the right to participate in the event if the invoice amount is not received on time or if not all outstanding claims of the organiser against the participating company have been settled.

In accordance with Dutch law, the organiser is obliged to charge the VAT rate applicable in the Netherlands of 21% for participation in the face-to-face event.

There might be items with a reduced VAT rate of 9%.

These rules also apply to participants / invoice recipients outside of the Netherlands. The organiser reserves the right to make changes to the programme.

7) Cancellation and rebooking

Cancellation or changes must be made through your personal account. You can find the link to your personal account in your confirmation e-mail. No refund will be made for the administration fee or additional costs caused by different payment methods.

Cancellations / refund of congress delegate registrations:

Full refund for Full Congress Tickets, 1-Day Tickets and 1-Day-Exhibition Tickets can be demanded until August 2, 2023.
After this date your registration may be cancelled against payment of a processing fee of 50,00% of the ticket price (plus VAT) in between August 3 and August 30, 2023.

The full admission fee for Full Congress Tickets, 1-Day Tickets and 1-Day-Exhibition Tickets shall be due upon cancellation on and after August 31, 2023 as well as in the case of absence.

Change of delegate or day/ ticket downgrades / ticket upgrades:

A change of the delegate attending or the day delegates would like to attend can be made against the payment of a processing fee of 5,00 % of the ticket price (plus VAT).
In case of a downgrade (the reduction of your registration (either from Full Congress Ticket to 1-Day- Ticket or from Full Congress Ticket to 1-Day-Exhibition Ticket or from 1-Day-Ticket to 1-Day-Exhibition Ticket) the mentioned standard cancellation terms and deadlines for tickets will apply.

For all mentioned items, the mentioned standard cancellation terms and deadlines for tickets and the mentioned standard terms and conditions for change of delegates will apply.

Please note: This also refers to changes of the dates delegates would like to attend Sightseeing Tours and Diamond Tours Sep 28/ 29/ 30).

8) Covid regulations

The teams of BIBM and BCF kindly ask you to follow daily and usual hygienic measures and behaviours at the congress, at the buffets, in the social activities and at the gala dinner.

At the moment (01.02.2023) there are no restrictions due to the Covid pandemic in the Netherlands. In case of applying restrictions in the Netherlands, delegates and exhibitors will find all relevant

information on the website www.bibmcongress.eu .

If the number of participants is limited by the Dutch authorities due to the pandemic, priority will be given to registrations from precast concrete factories, construction companies and the supply industry.

No Corona testing facilities are available at the venues.

9) Overnight stay

BIBM and BCF recommend Hotel Okura and its five star service as option to stay over night. The organiser offers an accomodation overview, showing 4 star, 3 star and 2 star options to stay over night. This overview also includes information about public transport and a map showing the geographical positions of the hotel and transport options mentioned. The organiser will not take responibility for hotel reservations. Due to limited capacity, the teams of BIBM and BCF recommend early booking.

10) Data protection regulations

Participants agree that personal data such as title, first name, surname, postal address, e-mail address and telephone extension, which are provided during the registration or communication process in preparation for the event, may be used exclusively by the organiser for the purpose of fulfilling the contract and sending further event information. The organiser collects, processes, uses and stores personal data insofar as this is necessary for the provision of services, the delivery of personal event information and the dispatch of tickets.

The organiser reserves the right to provide delegates, speakers and exhibitors with a digital list of those attending the event in the form of a PDF file.

In this case following data can be transfered to third parties: name, last name, company/ organisation name, company/ organisation country, company/ organisation location/ postal code.

Data concerning private adress, private email adress, job email adress, phone numbers and other personal data will not be transferred to third parties.

For identification purposes and to check access authorisation, BIBM Congress 2023 participants and exhibitors will be issued with a name badge showing their title, first name, surname, company and attendance details.

During BIBM Congress 2023, photographs and/or film and/or sound footage will be taken, which will be used and published digitally and in print for reporting on the congress and for future online and print advertisement of events organised by BCF – Building Congress Forum GmbH.

14) Final provisions

Should parts of these conditions of participation be or become invalid, this shall not affect the legal validity of the entire contract. Agreements, individual approvals and special regulations require the written confirmation of the organiser.

Except Dutch taxation especially VAT law and regulations, German law shall apply exclusively. The place of jurisdiction is Stuttgart.
